How to Cancel and Replace a Pactvera Agreement
A Pactvera Agreement may sometimes need to be corrected after it has already been sent. Cancel and Replace lets you stop the existing agreement and create a replacement while preserving the history of the original.
Use Cancel and Replace when the agreement needs to be revised rather than allowing participants to continue acting on the original version.
Important: Cancel and Replace currently applies to Pactvera Agreements. It is not currently supported for Pactvera Transactions.
When should I use Cancel and Replace?
Use Cancel and Replace if you need to correct or revise a Pactvera Agreement after it has been sent, for example if:
- A document needs to be corrected
- A participant or assigned action needs to change
- Agreement details were configured incorrectly
- The original agreement should no longer be completed
Cancel and Replace preserves the relationship between the original agreement and the revised version instead of treating the replacement as an unrelated Pactvera. The feature was designed specifically to allow an agreement that has already received participant activity to be revised while maintaining traceability to the original version.
How to cancel and replace an agreement
- Go to Pactvera > Sent.
- Locate the Pactvera Agreement that needs to be revised.
- Open the available actions for the agreement.
- Select Cancel and Replace.
- Confirm that you want to cancel the current agreement.
- Review and update the replacement agreement as needed.
- Send the replacement when it is ready.
The original agreement remains part of the Pactvera history rather than being silently overwritten. Pactvera preserves cancellation and prior participant activity for audit purposes.
What happens to the original agreement?
Once the agreement is cancelled, participants should no longer complete outstanding actions on that version. Existing links to a cancelled agreement should not allow additional actions to be completed.
Pactvera preserves the appropriate record depending on whether anyone had already acted:
- If there was no participant interaction, the cancellation is recorded and the associated document and form records are marked cancelled.
- If participants already completed one or more actions, those records remain intact and the cancellation is added to the agreement history.
This prevents a correction from erasing what occurred before the agreement was cancelled.
What happens to the replacement?
The replacement becomes the version participants should use going forward.
The original agreement remains traceable as the prior version, while the replacement continues through its own agreement lifecycle. This allows users reviewing the record later to distinguish the cancelled agreement from the agreement that replaced it.
Can I cancel and replace a Pactvera Transaction?
No. Cancel and Replace currently applies to standard Pactvera Agreements and is not currently supported for Pactvera Transactions.
For transaction issues involving a completed payment or value transfer, Pactvera uses transaction recovery and reversal workflows instead.
