How to Use Templates in Pactvera

Templates save time by letting you reuse frequently used documents, forms, and entire agreements. Anything you create — a document, form, or complete Pactvera setup — can be saved as a template for future use.

Types of Templates

You can create and manage three types of templates in Pactvera:

Template Type What It Includes Where It’s Used
Document Template Reusable agreements, contracts, or files with preconfigured fields and recipients. Used when adding documents to a Pactvera.
Form Template Reusable form layouts built in the form editor. Used when adding forms to a Pactvera.
Pactvera Template  A complete preconfigured Pactvera agreement — including documents and/or forms. Used to instantly create new Pactveras.

1️⃣Creating a New Pactvera Template

  1. To create a new template from scratch, navigate to the Pactvera Templates by clicking "Open Templates" from Pactvera's Main page.

  2. Or navigate via the side menu through Configuration > Pactvera Templates.


  3. Click "Create New".


  4. Enter a title.


  5. (Optional) Enter a description.
  6. If you're using Pactvera across other products, such as KYC or KYB, select the applicable product(s).

    Read the embedded User Guide for more information on specific product integrations.


  7. Add documents and forms by creating them from scratch or selecting from your existing Document or Form Templates.


  8. When you're finished, click "Save", and your new template will be ready to use!

KYC Templates and Internal Countersigners

Pactvera templates used with KYC can include both the customer being verified and authorized signers from your own organization.

For a KYC-tagged Pactvera template:

  • You can configure one external recipient — the customer completing KYC.
  • You can add one or more internal Pactvera Signers from your own organization as countersigners or approvers.
  • Internal signers must be selected from the users available under your organization's current Pactvera signing authority.
  • Internal and external signers can be reordered when configuring the signing sequence.
  • The system prevents additional external recipients while still allowing multiple authorized internal participants.

This lets your organization include an internal compliance officer, authorized signer, manager, or other appropriate employee in the same KYC-related Pactvera instead of requiring a separate agreement.

2️⃣ Saving Documents, Forms and Pactveras as Templates

Whenever you create a document, form, or Pactvera, you can save it as a template:

  1. Open the document, form, or Pactvera you want to reuse.

  2. Click Save as Template.

  3. Enter a clear name and description.

  4. Choose where it belongs (folder or product line).

💡 Example: You might save a “Customer Intake” as a Form Template or a “Standard NDA” as a Document Template for quick use later.


3️⃣ Organizing Templates

📄 Document and Form Templates

  • Each product line has system-generated folders — for example:

    • KYC Documents

    • KYB Forms

    • Sportafi Agreements

  • You can freely create subfolders inside these to keep everything organized.

🧾 Pactvera Templates

  • Pactvera templates are organized differently.

  • Instead of folders, you associate each PV template with one or more product lines (e.g., KYC, KYB).

  • Certain product lines have built-in restrictions to ensure templates stay compatible with their specific workflows.

4️⃣ Using a Template

When you’re ready to create a new Pactvera:

  1. Go to Pactvera > Sent.

  2. Click New RequestCreate a Request.

  3. Select Use Template.

  4. Choose any Pactvera Template.

The system will automatically load the selected template with all of its saved settings — fields, recipients, and logic — so you can send it right away or make quick edits before sending.
