How Payments & Subscriptions Work for Organizations
This article explains how billing, subscriptions, and usage work for organizations using ChainIT, including setup fees, monthly commitments, prepaid credits, and service access.
How does billing work for organizations on ChainIT?
ChainIT uses a prepaid subscription model for organizations.
Organizations:
• Pay a one-time setup fee during onboarding
• Maintain an active monthly subscription
• Receive prepaid credits equal to their monthly commitment
• Have usage deducted in real time as services are consumed
All usage must be prepaid. There is no post-use billing and balances cannot go negative.
What is the setup fee?
The setup fee is a one-time charge paid when an organization creates its ChainIT Org ID.
It covers initial onboarding, required verifications, and account provisioning. The setup fee depends on the subscription tier selected.
What are subscription tiers?
Subscription tiers define an organization’s monthly commitment and per-unit pricing.
Each tier:
• Includes a fixed monthly credit amount
• Uses prepaid credits for all usage
• Offers lower per-unit pricing at higher tiers
Organizations can change tiers, with changes taking effect in the next billing cycle.
What happens to the monthly commitment?
The monthly commitment is automatically converted into prepaid credits at the start of each billing cycle.
As your organization uses ChainIT services—such as verifications, document workflows, SDK transactions, or add-ons—credits are deducted in real time.
Can our balance go negative?
No.
Balances cannot go negative. If your balance reaches $0:
• All paid ChainIT services are immediately blocked
• Admins see a service lockout message
• Usage attempts are logged for audit purposes
Services resume once funds are added or the subscription issue is resolved.
Can we add funds outside the monthly commitment?
Yes.
Organizations may manually add funds at any time.
Can I set up auto-replenishment?
Yes. Auto-replenishment helps organizations avoid service interruptions, but charges are never submitted automatically.
When auto-replenishment is enabled:
• ChainIT monitors the organization’s balance against a configured threshold
• When the balance falls below that threshold, the admin is notified
• The system prepares a replenishment amount based on the org’s settings
To complete the replenishment:
• An admin must explicitly approve the payment
• Biometric authentication is required to submit the charge
• No funds are added without admin confirmation
This ensures that all payments remain intentional, auditable, and administrator-approved, while still reducing the risk of unexpected service interruptions.
What happens if our subscription lapses?
If a subscription lapses due to a failed payment or cancellation:
• All paid services are blocked immediately
• The organization must pay:
• A $50 reactivation fee
• The current month’s commitment
• Any unpaid balance
Once payment is completed, services are restored.
Who pays for KYC, KYB, or verification tasks?
For tasks involving individuals or other organizations:
• Admins choose whether the organization pays or the end user pays
• If the organization pays, usage is deducted from the org’s balance
• If the user pays, they are prompted to complete payment before proceeding
Payment responsibility is always disclosed before the task is completed.
What happens if our balance is $0 or our subscription is inactive?
When billing is inactive:
• Admins cannot send invites or initiate KYC/KYB flows
• End users cannot complete paid tasks, add-ons, or SDK-based actions
• Forms, verifications, and Pactvera execution are blocked
• The UI clearly indicates the billing issue
All blocked attempts are logged for audit and compliance purposes.
Where can admins manage billing and view usage?
Organization admins can manage billing in the Business Portal, including:
• Viewing subscription tier and commitment
• Managing payment methods
• Configuring auto-replenishment
• Viewing real-time usage
• Downloading statements and receipts
Monthly statements include starting balance, usage, credits applied, and ending balance.
How does ChainIT ensure billing transparency?
ChainIT provides:
• Real-time usage tracking
• Itemized billing records by product line
• Downloadable statements and receipts
• Full audit logs for billing-related actions
All charges are easily traceable to the source and user who incurred the charge.
